What do I do if I need to cancel a class?

Sometimes things come up, and for whatever reason, it may be you may need to cancel a student's class.

Here's what to do:

How to cancel a paid class

  1. Email the affected student('s) to let them know you are unable to cover their planned class, please copy your class coordinator on the email so they too are aware. 
    Here is an email template you can use for this purpose:

    Dear {Student Name},

    I hope you are well. I am reaching out to let you know that unfortunately, I will not be able to cover the class we had planned for {date/time}.

    The cancellation is due to (Describe a necessary - a family emergency/loss of internet or power/technical problem/ traffic, etc)

    My apologies for the inconvenience. Rest assured you will not be charged for this class.

    I'd be glad to reschedule the class for you, what alternative days and times would work for you?

  2. Once the email is sent, proceed to cancel the class on your calendar. Be sure to block the time/times you are now not available using the red 'unavailable' blocks on your calendar. This will help avoid any other classes being scheduled at the time you are not available.

    To cancel a class, simply identify the class on your calendar, click directly on it, then click the red 'delete' button.

How to cancel a trial class

  1. If you cannot cover a trial class that you have been assigned and you feel there is insufficient time to reschedule with the student, all you need to do is email your class coordinator on info@livelingua.com, and explain that you cannot cover the class and that you'd like them to reassign the class with another teacher.
  2. If you cannot cover the planned time but would prefer to reschedule - email out to the student directly and ask if they would be OK to move the class to your proposed day and time. Once a new time/date is agreed you can manually reschedule the class via your student dashboard (from the class page, or by clicking on the trial class on your calendar), or if you prefer email your class coordinator and request they reschedule it for the newly agreed time.
